Swim Meet Job Descriptions

Timers (12 per meet)

The are two timers per lane: a lane time and a head lane time.

Head Lane Timer
  1. Verifies and if necessary records name of each swimmer.
  2. Starts the backup stopwatch at the flash of the strobe at the beginning of a race.
  3. Steps forward and presses the backup timing button at the end of a race when any part of the swimmer touches the wall.
  4. Records the stopwatch time.
  5. Reports possible timing system malfunctions (ie: missed pad, late touch).
Lane Time
  1. Starts a stopwatch at the flash of the strobe at the beginning of a race.
  2. Steps forward and stops a stopwatch at the end of a race when any part of the swimmer touches the wall.
  3. Reports the stopwatch time to the Head Lane Timer.

Timing System Operator (2 per meet)

Operates the electronic timing system during the meet.
  1. Sets the event and heat number prior to the start of the race.
  2. Verifies the system is running after the start of each race and manual starts timing when necessary.
  3. Monitors operation of touch pads and conditionally adjusts the lap count.
  4. Verifies each lane is armed for the finish.
  5. Prints and saves the results of each race.
  6. Checks for discrepancies between automatic and semi-automatic timing and reports possible timing system malfunctions.
  7. Reconfigures timing system before and after 25 meter events.










Meet Data Entry (2 between meets)

Use Team Manager to enter swimmers and relay teams is upcoming meets and to generate pre-meet and post-meet reports.
  1. Generate meet entry form.
  2. Enter swimmers and relay teams into database from meet entry form and online sign-up forms.
  3. Generate meet entry report and meet results report.

Pre-Meet Computer Operator

  1. Generate meet events file.
  2. Import meet entries.
  3. Seed each event.
  4. Manually adjust seeding to make more efficient use of the pool.
  5. Generate team entry reports and initial meet programs.

Meet Computer Operator (2 per meet)

Use Meet Manager to input meet entries, seed events, input results, make sure results are correct, determine order of finish, and generate meet related reports and labels.
  1. Setup computer, C84 printer (TBD), C86 printer (TBD), key pad (TBD), and mouse (TBD).
  2. Download events to timing system.
  3. Scatch individual swimmers and add new entries based on coaches input. (events 1 thru 10)
  4. Generate updated programs and lane timer sheets. (events 1 thru 10)
  5. Scatch individual swimmers and add new entries based on coaches input. (events 11 and up)
  6. Generate updated programs and lane timer sheets. (events 11 and up)
  7. Check lane timer sheets for changes.
  8. Upload heat results.
  9. Enter DQ information.
  10. Check results for posible timing malfunction (highlighted in yellow) and adjust based on direction of referee.
  11. Calculate perliminary results.
  12. Adjust results to enforce place and scoring limits. (tri-meet: only two swimmers per team, dual-meet only three swimmers per team)
  13. Generate final results and award labels. (this is done no sooner than 30 minutes after an event with a DQ.)
  14. Generate report of overall results and scores.











Meet Set-up & Tear-down

  1. Setup table in shower cubby for computer and printers.
  2. Place timing system cart next to the entrance to girls locker room.
  3. Run remote speaker cable along balcony. The end with the plastic tube get routed around the left side of the left most wooden column. The other end gets routed through the top of the rail support column that is four feet to the left of the right most wooden column. Please be sure to slowly lower the ends to the floor.
  4. Run the cable support rope around the right most railing support column and back down to the floor.
  5. Position lifeguard chair, for timing cable support pole, next to starting end of pool (facing away from pool).
  6. Position another lifeguard chair, for remote speaker, next to backstroke pole at turn end of pool (facing toward lane 4).
  7. Place remote speaker on lifeguard chair.
  8. Pivot basketball net away from pool.
  9. Use a shim to attach starting system to backstroke flag pole at the start end of the pool.
  10. Run timing cable along blocks placing one module behind each block.
  11. Use a bungie cord to attach each module to a starting block. Position the side of the module on the diagonal support and run the bungie cord througth the center most hole.
  12. Use a carabiner to attach timing cable to the support pole and duct tape the support pole to the lifeguard chair.
  13. Use carabiner to attach one end of timing harness to top of backstroke flag pole at starting end of pool.
  14. Use the I-bolt on the other end of the timing harness to attach it to the hook in the corner next to the shower cubby.
  15. Attach one end of cable support rope to the carabiner in the center of the timing harness and attach the other end to the water faucet behind the timing cart.
  16. Run the timing cable through the carabiner in the center of the timing harness.
  17. Connect computer to timing harness.
  18. Attach timing system to cable harness
    1. power cord to J13.
    2. score board: tip-ring-sleeve to J2.
    3. starting system: two pin banana jack connection to J12 (tab to black)
    4. timing cable: four pin banana jack connection to J10.
    5. computer: DB9 connector to J6.
  19. Use support rope to raise harness above the deck and tie it off to the water faucet.
  20. Use carabiner to attach remote speaker cable to top of backstroke flag pole and attach cable to remote speaker.
  21. Attach remote speaker cable to carabiner on top of backstoke pole and connect it to the AUX Speaker input on the starting system (tab to black).
  22. Attach timing system to DAKTRONICS N/O connector on starting system (tab to black).
  23. Plug timing harness power cord into AC outlet.
  24. Connect tip-ring-sleeve jack on end of timing harness to score board control junction box.
  25. Attach a push button to "Button 1" connection on each of the timing cable modules (tab goes to black).
  26. Install one touch pad in each lane and attach it to the "touchpad" connection on the timing cable module. Always use two people to handle each touch pad, they can be easily damaged and are expensive to replace.







Officials (2 or more per meet)

Positions range from Stroke & Turn Officials to Meet Referee. These positions require membership in USAS, attendance at an NES run training clinc, and appenticing under another official. Contact me if you are interested.
  • Stroke And Turn Officials watching the motion of the arms and legs and the position of the swimmer's body during normal swimming, during turns and at the finishes.
  • Starter is the individual who provides the instructions and oversees the beginning of each race, to ensure that all swimmers are started fairly. Both the Starter and Referee must see a false start for the swimmer to be disqualified.
  • Deck Referee is on deck, next to the Starter, running the flow of the meet on a moment by moment basis.
  • Administrative Referee works behind the scenes in large meets handling problems with time discrepancies, seeding difficulties and all the meet paperwork.
  • Meet Referee oversees the operation of all phases of the meet and has the ultimate authority in deciding conflicts and judging disputes.
  • Runner (2 per meet)

    1. Distribute meet programs to officials and coaches.
    2. Post meet program.
    3. Pick uplane timer slips from each lane and delivers them to scorer.
    4. Pick DQ slips from officials and deliver to referee.
    5. Deliver DQ slips to coaches.
    6. Posts results in designated locations.

    Medals/Ribbons Preparer

    Separates the medals/ribbons, sticks on the labels, and prepares them for presentation or puts them in the team bags.
